Capture plans

A capture plan is your team's strategy document for one opportunity. Use it to record what you know about the customer, the competition and your win strategy, ideally before the RFP is released.

The Capture Plans page

Open Capture Plans in the sidebar. Plans are listed newest first. Each card shows:

  • The opportunity name and the customer organization.
  • The estimated value you entered, or "--" when you have not entered one.
  • Your win probability estimate followed by "Pwin", when you have entered one.
  • A decision badge: Go, No-Go or Pending.

The Pwin figure is the number your team typed into the plan. Propivix does not calculate it, and it is not based on any data. The decision badge shows the decision saved on the plan itself. For a plan linked to an RFP, open the plan to see the RFP's current decision.

When you have no plans yet, the page says "No capture plans yet" and offers Create your first capture plan.

Creating a capture plan

  1. Select New Capture Plan.
  2. Enter the Opportunity Name. It is required and can be up to 200 characters.
  3. Optionally enter the Customer Organization.
  4. Select Create.

Propivix creates the plan with eight empty sections and opens it.

The plan header

The top panel of a plan holds its headline facts:

  • Opportunity Name and Customer Organization.
  • Estimated Value (USD), which must be a positive number or left empty.
  • Win Probability (0-100), a whole number between 0 and 100 that your team estimates. It is your judgment, not a calculation.
  • Go / No-Go Decision and Go / No-Go Rationale, shown only while the plan has no linked RFP.

Header fields do not save automatically. A change adds an "Unsaved changes" label beside Save Header. Your browser asks for confirmation only when you reload or close the tab with unsaved header changes. Links within Propivix show no warning, so use Save Header before Back to capture plans, View linked RFP or other navigation.

Linking an RFP

A capture plan can link to one RFP. The link lets the plan use the RFP's analysis and hands the bid decision to the RFP, so each opportunity has one bid decision.

  1. Find the RFP dropdown under the plan's title.
  2. Choose the RFP. The link saves as soon as you choose.
  3. Select View linked RFP to open that RFP.

To unlink, choose None in the same dropdown.

Once an RFP is linked, the plan stops keeping its own go/no-go decision. The header shows "Bid decision:" followed by the decision recorded on the RFP: Go, No-Go, Conditional Go, or "No decision yet" when the RFP has none. Select Manage in the RFP's Go/No-Go to make or change the decision there. Go/No-Go Decisions explains how that decision is made and recorded.

If you unlink the RFP, the plan's own Go / No-Go Decision and Go / No-Go Rationale fields come back with whatever they held before.

Pre-filling sections from the RFP

Pre-fill from RFP drafts four sections for you. It is available only when an RFP is linked. Otherwise the button is disabled and its tooltip says "Link an RFP first".

  1. Link an RFP that has been analyzed.
  2. Select Pre-fill from RFP.
  3. Review the drafted sections.

Pre-fill reads the linked RFP's analysis and, when one exists, the Bid Advisor analysis for that RFP. It writes Customer Profile, Opportunity Definition, Competitive Analysis and Win Strategy. It replaces whatever those four sections held, so copy out any notes you want to keep before you run it. The other four sections need your team's judgment and are never touched.

If the linked RFP has no analysis data, pre-fill stops with a message asking you to link an RFP and run analysis first.

Sections written by pre-fill carry an AI pre-filled badge. The badge stays after you edit the text. It records that pre-fill wrote the section, not that the text is still unreviewed.

The eight sections

Under APMP Capture Plan Sections, each section has a short hint about what belongs there:

  • Customer Profile: decision makers, the organization chart, priorities and history with your company.
  • Opportunity Definition: what is being bought, the scope, the estimated value and the timeline.
  • Competitive Analysis: who else is bidding, their strengths and the incumbent.
  • Win Strategy: discriminators, themes, ghosting and messaging.
  • Price to Win: a target price from competitive intelligence, cost drivers and pricing strategy.
  • Black Hat Review Results: likely competitor strategies from a black hat session.
  • Action Items: customer contacts, relationship building and deadlines.
  • Teaming Decisions: prime or sub, partners, teaming agreements and work share.

Each section is free text. It saves automatically a moment after you stop typing, and again when you click away. The label beside each section reads Saving..., Unsaved changes or Saved. If a save fails, the label shows the error, and your text stays in the box so you can try again.

Deleting a capture plan

  1. Select Delete at the top of the plan.
  2. Confirm in the browser dialog.

Deleting a plan removes it and its sections, and it cannot be undone. The linked RFP and its go/no-go decision are not affected.
