Approval workflows ensure proposals meet quality standards before submission. Set up reviewers and approval chains.
Setting Up Approvals
Organization-Wide Settings
Configure default approval settings:
- Go to Settings
- Select Approvals
- Configure:
- Required approvers
- Approval levels
- Default reviewers
Per-Proposal Settings
Override defaults for specific proposals:
- Open the proposal
- Go to Settings
- Configure approval workflow
- Save
Approval Types
Single Approval
One person approves the entire proposal.
Setup:
- Designate one approver
- They review all sections
- One approval releases the proposal
Sequential Approval
Multiple approvers in order.
Setup:
- Define approval order
- First approver reviews and approves
- Passes to next approver
- Continues until all approve
Example:
Proposal Lead → Manager → Director
Parallel Approval
Multiple approvers simultaneously.
Setup:
- Designate all approvers
- Each reviews independently
- All must approve
- Any can request changes
Section-Level Approval
Different approvers for different sections.
Setup:
- Assign approvers per section
- Each section needs its approval
- Proposal ready when all sections approved
The Approval Process
Submitting for Approval
- Complete the proposal/section
- Click Submit for Review
- Select approver(s)
- Add any notes
- Submit
Reviewing
As an approver:
- Receive notification
- Open the proposal
- Review content thoroughly
- Add comments if needed
- Decision:
- Approve - Meets standards
- Approve with Comments - Minor notes
- Request Changes - Needs work
- Reject - Major issues
Addressing Feedback
When changes requested:
- Review the feedback
- Make necessary changes
- Respond to comments
- Re-submit for approval
Final Approval
When all approvals complete:
- Status changes to "Approved"
- Ready for export
- Can proceed to submission
