Understanding Approval Workflows

Approval workflows ensure proposals are reviewed before submission. Multiple reviewers can provide feedback and approve sections or entire proposals.

How Workflows Work

Basic Flow

  1. Author completes a section or proposal
  2. Submits for review
  3. Reviewer(s) review content
  4. Approve or request changes
  5. Author addresses feedback
  6. Final approval given
  7. Ready for export/submission

Approval Levels

Configure multi-level approvals:

  • Single Level - One approver
  • Sequential - Approvers in order
  • Parallel - Multiple approvers simultaneously

Setting Up Approval

For a Section

  1. Complete your section content
  2. Click Submit for Review
  3. Select reviewer(s)
  4. Add any notes
  5. Submit

For Entire Proposal

  1. Ensure all sections are complete
  2. Click Submit Proposal for Review
  3. Select required approvers
  4. Set approval order (if sequential)
  5. Submit

Reviewing Proposals

As a Reviewer

When assigned to review:

  1. You'll receive a notification
  2. Open the proposal/section
  3. Review the content
  4. Add comments or suggestions
  5. Choose: Approve or Request Changes

Review Options

Approve

  • Content meets standards
  • Ready for next step

Approve with Comments

  • Minor suggestions
  • No re-review needed

Request Changes

  • Issues must be addressed
  • Requires re-submission

Reject

  • Significant issues
  • May need to start over

Tracking Approvals

Approval Status

View status at any time:

  • Pending - Awaiting review
  • In Review - Reviewer working on it
  • Changes Requested - Needs revision
  • Approved - All approvals complete

Approval History

See the complete history:

  1. Open the proposal
  2. Click Approval History
  3. View all actions and comments

Notifications

Stay informed about approvals:

Authors receive:

  • Approval granted
  • Changes requested
  • Comments added

Reviewers receive:

  • New review requests
  • Re-submission after changes
  • Reminders for pending reviews

Best Practices

For Authors

  1. Self-review before submitting
  2. Include context in submission notes
  3. Address all feedback thoroughly
  4. Re-submit promptly

For Reviewers

  1. Review within deadline
  2. Provide constructive feedback
  3. Be specific about changes needed
  4. Communicate if you can't review

For Managers

  1. Set clear approval criteria
  2. Assign appropriate reviewers
  3. Monitor turnaround times
  4. Adjust workflow as needed

Configuring Workflows

Organization Settings

Set default workflow in Settings:

  1. Go to Settings > Approvals
  2. Configure default approvers
  3. Set required approval levels
  4. Save changes

Template-Based

Templates can include workflow rules:

  • Required approvers
  • Approval criteria
  • Bypass conditions

Emergency Bypass

For urgent situations:

  1. Admins can bypass approval
  2. Logged in approval history
  3. Should be exception, not rule
