When you re-analyze an RFP, Propivix compares the new reading with the requirements already stored. If the new reading would remove most of them, it stops before changing anything and asks you with a Replace requirements? dialog. Nothing is broken; Propivix is asking for a decision.
Why Propivix asked
A second reading of the same solicitation should mostly agree with the first. When it disagrees with most of an established set, the usual causes are the wrong document, a read that was cut short, or a very different extraction. Removing requirements also removes the link between them and your work, so Propivix does not do it without asking.
The dialog appears when both of these are true:
- The RFP has five or more stored requirements.
- The new reading would remove more than 60% of them.
Reading the dialog
The dialog gives the real counts, for example:
"Re-analysis would replace 18 of 24 requirements. 3 of those carry completed work or linked responses and will be kept either way. Keep the current requirements, or replace them with the new extraction?"
- "18 of 24" is how many of the stored requirements the new reading does not find again.
- "3 of those" are requirements that some proposal has already responded to, or that are marked complete. They stay whichever button you choose.
Nothing from this re-analysis has been saved at this point. The RFP's status has returned to New, as it does on every re-analysis.
Choosing what to do
Before you choose, check the files on the Documents tab. If a wrong or partial file is there, the new reading is likely the one at fault. Compare the current set on the Compliance matrix tab with what you expect the solicitation to require.
- Select Keep current when the stored requirements are right. The dialog closes and nothing from this re-analysis is kept, including any refreshed summary, dates or title.
- Select Replace requirements when you are sure the new reading is better, for example after replacing the wrong document. The analysis runs again and accepts the new set this time, still keeping the requirements that carry work. Because it runs again, the final counts can differ slightly from the ones in the dialog.
If the dialog keeps appearing and you are not sure which reading is right, keep the current requirements and contact support with the RFP page address.
For everything re-analysis changes and keeps, see Re-analyzing an RFP. If the RFP also shows a warning that part of the document was not analyzed, see An RFP analysis was cut short.
