Select an asset in the asset library and its details open in the pane on the right. The pane shows what Propivix has recorded about the asset, so you can check it before a proposal relies on it. Until you select an asset, the pane reads "Select an asset to see its facts, where it is used and its extracted text."
The top of the pane shows the asset's title, its type, its file name and size, and when it was last updated. The title is shown in a readable form: the file extension is dropped and underscores and hyphens become spaces. The stored title does not change.
Facts
The Facts block lists the fields that matter for the asset's type, in a fixed order:
- CV: Role, Security clearance, Client / agency.
- Project sheet: Client / agency, Contract number, Contract value, Period of performance, CPARS.
- Past proposal: Client / agency, Contract value, Year.
- Certificate: Certification, Expiry, Client / agency.
- Any other type: Client / agency.
These values come from the AI analysis of the document, so they can be wrong or incomplete. Read the extracted text or the original file before you rely on one.
A field with no value reads "Not recorded". That means the analysis found nothing for it. It does not mean the fact is false. For a CV with no clearance recorded, the pane says "Clearance data is not recorded. This does not establish whether clearance is held." If the CV has text on file and you can change the library, Re-analyze CV runs the analysis again on the saved text.
The same facts appear as chips on each tile in the library, up to three per tile. The clearance chip on a CV tile and the agency chip on a project sheet or past proposal tile show "Not recorded" when empty, so an empty field is not mistaken for a claim.
Below the facts, Business lines lists the lines the asset belongs to. Use Add business line… to add a linked assignment. The × beside a line removes only that linked assignment; it does not change the asset's primary business line, so a line that is also primary can remain listed.
Used in
Used in lists the proposals whose team includes this asset, with a link to each proposal and the role the asset fills on it, when one was given. It reads from proposal teams only. An asset used as evidence in a section but not on the team is not listed.
When no proposal team includes the asset, the Used in section does not appear.
Tags
Tags shows the asset's tags, or "No tags." when it has none. To change them:
- Select Edit tags.
- Edit the list, separating tags with commas.
- Select Save tags, or Cancel to leave them as they were.
To add one tag to many assets at once, use Add tag in the library's bulk bar.
Extracted text
Extracted text is the text Propivix read from the uploaded file. It is the text the AI analysis reads.
The library does not load this text with the list, because it can be long. It loads when you open Extracted text. If the file produced no text, the pane says "No text was extracted from this file." If the file is a scanned image, upload a version with selectable text.
For boilerplate that contains variable codes such as <<COMPANY>>, a Preview with variables resolved checkbox appears. It fills in your organization's name for <<COMPANY>> and leaves other codes as written. The stored text is not changed.
The actions at the bottom of the pane are Open original, which opens the uploaded file in a new tab, and, if your role can change the library, Rename, Re-analyze, Delete and Move to folder…. Delete asks you to confirm, because the file and its extracted text are removed and cannot be recovered.
Certificate expiry
A certificate's expiry date comes from the expiry date saved on the asset. When none is saved, Propivix uses a date the analysis found in the document.
Propivix compares that date with today's date in UTC and places the certificate in one of four groups:
- Expired: the date is before today. The tile's chip reads "Expired" in red.
- Due within 90 days: the date is today or within the next 90 days. The chip reads "Expires" in amber.
- Current: the date is more than 90 days away. The chip reads "Expires".
- Unknown: no date could be read. The chip reads "Date unknown".
The Certificate expiry check tile at the top of the library counts the expired and due certificates, the dates it could not read and the certificates in total. The "Expiring within 90 days" smart folder lists both expired and due certificates.
The check covers expiry only. It does not tell you whether a certificate meets a solicitation's requirements, so review those separately.
