How to Upload Assets

Building your asset library is essential for quality proposals. Here's how to add content.

Uploading Files

Single Upload

  1. Go to Assets
  2. Click Add Asset
  3. Select asset type
  4. Upload your file or paste content
  5. Add details and save

Supported Formats

  • Documents - PDF, Word (.doc, .docx)
  • Text - Plain text, Markdown
  • Spreadsheets - Excel (for structured data)

File Size Limits

  • Maximum 50MB per file
  • Larger files may take longer to process

Upload Methods

Drag and Drop

Simply drag files onto the asset page to start uploading.

File Browser

Click the upload area to browse and select files.

Copy and Paste

For text content:

  1. Select "Enter Text" option
  2. Paste your content
  3. Format as needed
  4. Save

From Template

Use pre-built templates:

  1. Click Use Template
  2. Select CV, Project Sheet, etc.
  3. Fill in the fields
  4. Save

Asset Details

Required Information

  • Title - Descriptive name
  • Type - CV, Project Sheet, Certificate, or Boilerplate
  • Content - The actual content (uploaded or entered)

Optional Information

  • Description - Brief summary
  • Tags - Keywords for search
  • Business Line - Associated business unit
  • Expiration Date - For certificates
  • Team Member - For CVs

Processing

After upload, Propivix:

  1. Extracts text from documents
  2. Indexes content for search
  3. Analyzes for AI matching
  4. Makes available for proposals

This takes a few seconds to a minute.

Bulk Upload

Multiple Files

Upload many files at once:

  1. Click Bulk Upload
  2. Select multiple files
  3. Files are queued for processing
  4. Set attributes for each or apply to all

CSV Import

For structured data:

  1. Download the template CSV
  2. Fill in your data
  3. Upload the CSV
  4. Review and confirm import

Best Practices

For CVs

  • Include all relevant experience
  • List certifications and education
  • Add skills and technologies
  • Keep updated regularly

For Project Sheets

  • Describe the challenge/solution
  • Include measurable outcomes
  • Note technologies used
  • List team roles
  • Add client reference (if permitted)

For Certificates

  • Include issuing organization
  • Add expiration date
  • Upload certificate image
  • Track renewal dates

For Boilerplate

  • Write in third person
  • Keep language neutral
  • Update with new capabilities
  • Version for different contexts

After Upload

Once uploaded:

  1. Review the extracted content
  2. Add tags and metadata
  3. Associate with business lines
  4. Asset is ready for proposals

Troubleshooting

Upload fails?

  • Check file format
  • Verify file size
  • Try different browser

Content not extracted correctly?

  • Ensure document is not scanned image
  • Use text-based PDFs
  • Manually edit if needed

Takes too long?

  • Large files process slower
  • Check internet connection
  • Try uploading smaller batches
