Organization Profile

Your organization settings define how your company appears in proposals and how Propivix works for your team.

Company Information

Basic Details

Configure your company identity:

  1. Go to Settings > Organization
  2. Update:
    • Company Name - Your official name
    • Legal Name - If different from company name
    • Website - Your company URL
    • Industry - Primary industry sector

Contact Information

Set default contact details:

  • Address - Physical address
  • Phone - Main phone number
  • Email - General contact email
  • Support Email - For proposal inquiries

Business Identifiers

Add important identifiers:

  • DUNS Number - For government proposals
  • Tax ID - Business identification
  • Registration Numbers - Industry-specific IDs
  • Certifications - Company-level certs (e.g., ISO)

Branding

Company Logo

Upload your logo:

  1. Go to Settings > Organization > Branding
  2. Click Upload Logo
  3. Select your logo file (PNG, JPG, or SVG)
  4. Adjust cropping if needed
  5. Save

Logo Requirements:

  • Minimum 200x200 pixels
  • Maximum 5MB file size
  • PNG recommended for transparency

Brand Colors

Set your brand colors:

  • Primary Color - Main brand color
  • Secondary Color - Accent color
  • Text Color - Default text color

These colors are used in:

  • Exported proposals
  • Email notifications
  • Template styling

Default Settings

Proposal Defaults

Set defaults for new proposals:

  • Default Template - Starting template
  • Default Approval Workflow - Review process
  • Auto-save Interval - How often to save

Export Defaults

Configure export preferences:

  • Default Format - Word, PDF, etc.
  • Include Cover Page - Yes/No
  • Include Table of Contents - Yes/No
  • Page Size - Letter, A4, etc.

Notification Defaults

Set organization-wide notification preferences:

  • Email Notifications - On/Off
  • Deadline Reminders - Days before
  • Approval Notifications - Immediate/Daily digest

Business Lines

What Are Business Lines?

Business lines let you organize proposals, assets, and templates by department or service area.

Examples:

  • IT Services
  • Engineering
  • Consulting
  • Healthcare

Setting Up Business Lines

  1. Go to Settings > Business Lines
  2. Click Add Business Line
  3. Enter name and description
  4. Optionally add:
    • Specific logo
    • Contact information
    • Default template
  5. Save

Managing Business Lines

  • Edit existing lines anytime
  • Archive unused lines
  • Assign assets to lines
  • Filter proposals by line

Security Settings

Password Policy

Configure password requirements:

  • Minimum length
  • Complexity requirements
  • Expiration period

Session Settings

Manage user sessions:

  • Session timeout duration
  • Remember me option
  • Concurrent session limit

Audit Log

View organization activity:

  1. Go to Settings > Security > Audit Log
  2. See all admin actions
  3. Filter by user, date, or action type
  4. Export for compliance

Data Management

Data Retention

Configure how long to keep data:

  • Completed proposals
  • Deleted items
  • Activity logs

Export Organization Data

Download all your data:

  1. Go to Settings > Data
  2. Click Export All Data
  3. Choose format (JSON, CSV)
  4. Download when ready

Delete Organization

If needed, you can delete your organization:

  1. Go to Settings > Organization > Danger Zone
  2. Click Delete Organization
  3. Confirm by typing organization name
  4. All data will be permanently deleted

Warning: This action is irreversible.

Best Practices

Complete Your Profile

  1. Fill in all company information
  2. Upload a high-quality logo
  3. Set brand colors
  4. Configure business lines if applicable

Keep Information Current

  1. Review quarterly
  2. Update when company info changes
  3. Refresh certifications
  4. Check contact details

Security First

  1. Enable strong password policy
  2. Set reasonable session timeouts
  3. Review audit logs regularly
  4. Remove inactive users

Troubleshooting

Logo not displaying correctly?

  • Check file format (PNG recommended)
  • Verify file size under 5MB
  • Try uploading a higher resolution
  • Clear browser cache

Settings not saving?

  • Check your permissions
  • Look for validation errors
  • Try refreshing the page
  • Contact support if persistent

Business line missing from dropdowns?

  • Verify it's not archived
  • Check if you have access
  • Refresh the page
