Inviting Team Members

Adding Team Members

Invite colleagues to collaborate on proposals. Team members can view, edit, and contribute based on their assigned role.

How to Invite

Single Invitation

  1. Go to Team in the sidebar
  2. Click Invite Member
  3. Enter their email address
  4. Select their role
  5. Click Send Invitation

Bulk Invitations

Invite multiple people at once:

  1. Go to Team
  2. Click Bulk Invite
  3. Enter email addresses (one per line)
  4. Select default role
  5. Send invitations

Invitation Process

What Happens

  1. Invitee receives an email
  2. They click the invitation link
  3. Create account (or sign in if existing)
  4. Join your organization
  5. Access based on assigned role

Invitation Status

Track invitations:

  • Pending - Sent but not accepted
  • Accepted - User has joined
  • Expired - Link expired (7 days)
  • Revoked - Cancelled by admin

Resending Invitations

If invitation wasn't received:

  1. Find the pending invitation
  2. Click Resend
  3. New email is sent

Revoking Invitations

Cancel a pending invitation:

  1. Find the invitation
  2. Click Revoke
  3. Link becomes invalid

Managing Team Members

Viewing Team

The Team page shows:

  • All members and their roles
  • Pending invitations
  • Last active date
  • Associated assets (CVs)

Editing Members

Change member details:

  1. Click on a team member
  2. Edit their information
  3. Save changes

Changing Roles

Update someone's role:

  1. Find the team member
  2. Click Change Role
  3. Select new role
  4. Confirm

Deactivating Members

When someone leaves:

  1. Find the team member
  2. Click Deactivate
  3. Confirm

Deactivated members:

  • Cannot access the system
  • History is preserved
  • Can be reactivated later

Linking CVs to Team Members

Associate a CV with a team member:

  1. Go to the team member's profile
  2. Click Link CV
  3. Select or upload their CV
  4. CV is now associated

Benefits:

  • Easier team matching
  • Automatic CV updates
  • Better proposal generation

Team Limits

Your plan determines:

  • Maximum team members
  • Available roles
  • Features accessible

Check your plan details in Settings.

Best Practices

  1. Invite early - Build your team before first proposal
  2. Assign appropriate roles - Match access to responsibilities
  3. Link CVs - Keep team profiles current
  4. Review regularly - Remove inactive members
  5. Use descriptive names - Help identify team members

Security Considerations

  • Only invite trusted colleagues
  • Use appropriate role levels
  • Review access periodically
  • Deactivate departed employees promptly

Troubleshooting

Invitation not received?

  • Check spam folder
  • Verify email address
  • Resend invitation

Can't change role?

  • Must be admin or owner
  • Can't demote yourself

Team limit reached?

  • Upgrade your plan
  • Deactivate unused accounts
