Managing Your Asset Library

3 min readLast updated: Sep 23, 2026

Your asset library holds the documents proposals are built from: CVs, project sheets, past proposals, certificates, boilerplate and supporting files. Propivix reads each document's text and records facts about it, such as a person's clearance or a project's agency. Proposal generation and the go/no-go analysis both draw on that library.

This article is a map of the library. Each section points to the article with the details.

Adding assets

Open Assets in the sidebar and select Upload to start the upload wizard. You choose the asset type, add your files and review them before they upload. See Uploading assets.

Finding and organizing assets

The Assets page works like a file manager. A folder tree on the left groups assets by business line and by type. It adds smart folders for certificates near expiry, analyzed assets to review, untagged assets and assets with no business line. You can also make your own folders, which work as labels: an asset can sit in several.

Select several assets to add them to a folder, assign a business line, add a tag, re-analyze them or delete them together. See The asset library.

Checking an asset

Select an asset to open its detail pane. It shows the facts the analysis recorded, the proposals whose team includes the asset, its tags, its extracted text and, for certificates, the expiry date. A fact the analysis did not find reads "Not recorded". That means it is missing, not that it is false. See Asset details.

Finding people

The CV library shows every CV as a person's profile, with their name, clearance and certifications. You can filter it by clearance, certification, agency experience and NAICS code. See The CV library.

Keeping the library useful

The facts Propivix records are only as good as the documents behind them. A few habits help:

  • Upload documents with selectable text. A file that yields no extracted text cannot be analyzed.
  • Assign each asset to the business lines it supports, so it appears under the right line in the tree.
  • Check the "Needs review" smart folder for facts the analysis got wrong. Re-analyze runs the analysis again on the saved text.
  • Watch the Certificate expiry check tile and replace certificates before they expire.
  • Tag assets with the terms your team searches for. The Tag coverage tile shows the share that carry at least one tag.

Deleting an asset removes its stored file and extracted text, and cannot be undone.
