Propivix turns an RFP into a proposal draft using your own company material: CVs, project sheets, boilerplate and certificates. This guide takes you from a new account to your first exported proposal, and points to the article for each step.
Set up your organization
After you sign up, Propivix opens the Create your proposal workspace page. A company name is all you need to begin.
- Enter your Company name.
- Optionally enter your website under Company website (optional). Propivix can read your website to draft company information for you to review.
- Optionally pick a First business line (optional): IT Services, Cybersecurity, Construction, Healthcare, Aerospace or Other.
- Select Create workspace.
Until you save, your draft is kept in this browser for your account, so you can close the tab and come back to it.
If you gave a website, Propivix analyzes it after the workspace is created. When it finishes, the page says "Website information saved. Review the company profile and business lines for accuracy." If the analysis fails, your organization is still saved. Select Retry website analysis, or enter the details yourself later.
The page then shows a checklist, Build your proposal workspace, with a count of the essentials saved so far:
- Create your organization: done once the workspace exists.
- Review company profile: done once a company overview is saved on Business Profile.
- Set up business lines: done once you have at least one business line.
- Add your first evidence: done once your library holds at least one asset.
- Invite a teammate (optional): done once a second person has joined your organization. You can create proposals on your own.
Each item links to the page where you do it. Progress comes from what is actually saved, so the checklist is current whenever you return. Select Continue to workspace → to go to your dashboard.
Whoever creates the workspace becomes its Admin. Admins must use multi-factor authentication, so the first time you open the dashboard, Propivix takes you to set it up. See Multi-Factor Authentication (MFA).
The dashboard shows the same checklist until the four essentials are saved, and then a Review organization setup → link instead.
Your company name, website, UEI and primary NAICS code are edited in Settings. The rest of your company details live on Business Profile. See Organization Settings.
Build your library
Propivix drafts from what is in your library, so a few accurate assets matter more than many weak ones.
- Open Assets in the sidebar.
- Upload CVs, project sheets, company boilerplate and certificates.
- Assign each asset to a business line, so the right material is offered for each bid.
The asset library explains folders, smart folders and acting on many assets at once.
Your first RFP
- Open RFPs in the sidebar and select Upload RFP. See Uploading an RFP.
- Or find an opportunity in Federal Opportunities and select Track as RFP, which fills in the upload form for you. See Federal Opportunities and Tracking an opportunity as an RFP.
- Let the analysis finish. It extracts the requirements, the due date, page limits and other facts from the document.
On the RFP page, check the extracted facts in the fact strip (RFP facts at a glance) and the requirements in the compliance matrix. Then make your bid decision; see Go/No-Go Decisions. If the solicitation changes, see Re-analyzing an RFP.
Your first proposal
- Select New Proposal at the bottom of the sidebar, or start from the RFP.
- Work through the Generate Proposal with AI wizard. See Creating a Proposal.
- Check the sections and page budgets it proposes (Outline and page budgets) and the assets it offers as evidence (Requirement evidence on assets).
- Edit the drafted sections in the editor. An AI draft is a starting point, not a finished proposal.
- Select Review & export in the editor. An internal review draft downloads without checks. Preparing submission files first runs the quality gate. See Exporting Your Proposal.
