How RFP Analysis Works
When you upload an RFP, Propivix uses AI to automatically analyze the document and extract structured information. This saves hours of manual reading and note-taking.
What the AI Extracts
Project Information
- Client Name - The organization issuing the RFP
- Project Title - Name or identifier for the opportunity
- Project Description - Overview of what's being requested
- Scope of Work - Detailed breakdown of deliverables
Timeline & Deadlines
- Submission Deadline - When proposals are due
- Q&A Period - Deadline for questions
- Project Start Date - Expected commencement
- Project Duration - Length of engagement
Requirements
The AI categorizes requirements into:
- Mandatory - Must be addressed (often marked "shall" or "must")
- Optional - Nice to have (often marked "may" or "should")
- Technical - Specific technical capabilities
- Administrative - Certifications, insurance, etc.
Evaluation Criteria
- Scoring Categories - How proposals will be evaluated
- Weight/Points - Relative importance of each criterion
- Submission Format - Required structure and page limits
Reviewing the Analysis
After upload, you'll see the analysis on the RFP detail page:
Summary Tab
Quick overview of key information:
- Client and project name
- Deadline countdown
- Budget range (if mentioned)
- Key dates
Requirements Tab
Detailed list of all extracted requirements:
- Filter by type (mandatory/optional)
- Mark requirements as addressed
- Add notes for your team
Documents Tab
All uploaded documents:
- Original RFP
- Amendments
- Q&A responses
- Supporting attachments
Editing Extracted Information
The AI isn't perfect. You can edit any extracted field:
- Click the Edit button next to any section
- Make your corrections
- Click Save
Common things to edit:
- Deadline dates (if AI misread)
- Client name variations
- Missing requirements
- Budget clarifications
Analysis Status
RFPs go through several statuses:
- Uploading - Document being processed
- Analyzing - AI extracting information
- Ready for Review - Analysis complete
- Go/No-Go Pending - Awaiting decision
- In Progress - Proposal being created
- Submitted - Proposal sent to client
Tips for Better Analysis
- Upload complete documents - More context = better analysis
- Use original files - Not scanned copies
- Check critical dates - Always verify deadlines manually
- Review requirements - Ensure nothing was missed
