How to Upload an RFP

Uploading an RFP is the first step in the proposal process. Propivix supports PDF and Word documents.

Step-by-Step Guide

1. Navigate to the RFP Section

Click on RFPs in the left sidebar to access your RFP list.

2. Click Upload RFP

Click the Upload RFP button in the top right corner of the page.

3. Select Your Document

You can either:

  • Drag and drop your RFP file into the upload area
  • Click to browse and select from your computer

Supported formats:

  • PDF (.pdf)
  • Microsoft Word (.docx, .doc)

4. Add Basic Information

While the document uploads, you can optionally add:

  • Client name - Who issued the RFP
  • Project name - A descriptive name for the opportunity
  • Deadline - Submission due date

If you don't fill these in, the AI will attempt to extract them automatically.

5. Wait for AI Analysis

Once uploaded, Propivix will:

  1. Extract text from the document
  2. Analyze the content using AI
  3. Identify key requirements
  4. Extract deadline and evaluation criteria

This typically takes 30-60 seconds depending on document size.

What Gets Extracted

The AI automatically identifies:

  • Project Overview - Scope, objectives, and deliverables
  • Requirements - Mandatory and optional requirements
  • Timeline - Key dates and deadlines
  • Budget Information - If mentioned in the RFP
  • Evaluation Criteria - How proposals will be scored
  • Submission Instructions - Format and delivery requirements

Tips for Best Results

  1. Use original documents - Scanned PDFs may have lower accuracy
  2. Complete documents - Upload the full RFP, not just excerpts
  3. Single document - If the RFP has attachments, you can add them later

Adding Additional Documents

After the initial upload, you can add supplementary documents:

  1. Open the RFP detail page
  2. Click Add Documents in the Documents section
  3. Upload attachments, amendments, or Q&A documents

Troubleshooting

Document won't upload?

  • Check file size (max 50MB)
  • Ensure it's a PDF or Word document
  • Try a different browser

Analysis seems incomplete?

  • Some RFPs have unusual formatting
  • You can manually edit extracted information
  • Contact support if issues persist
