Working with Requirements

Understanding Requirements

RFP requirements are the specific criteria your proposal must address. Propivix extracts and categorizes these automatically.

Requirement Types

Mandatory Requirements

These MUST be addressed in your proposal. Missing mandatory requirements can disqualify your submission.

Identified by language like:

  • "The contractor shall..."
  • "Must provide..."
  • "Required to..."

Optional Requirements

Nice-to-have items that can strengthen your proposal but aren't required.

Identified by language like:

  • "May include..."
  • "Preferred if..."
  • "Optional..."

Technical Requirements

Specific technical capabilities, certifications, or qualifications needed.

Administrative Requirements

Business requirements like:

  • Insurance coverage
  • Bonding capacity
  • Years in business
  • References

Managing Requirements

Viewing Requirements

  1. Open the RFP detail page
  2. Click the Requirements tab
  3. Browse or filter the list

Filtering

Filter requirements by:

  • Type (mandatory/optional)
  • Category (technical/administrative)
  • Status (addressed/pending)

Marking as Addressed

As you build your proposal, track which requirements are covered:

  1. Find the requirement
  2. Click the checkbox to mark as addressed
  3. Optionally add a note about where it's addressed

Adding Missing Requirements

If the AI missed something:

  1. Click Add Requirement
  2. Enter the requirement text
  3. Select the type and category
  4. Save

Editing Requirements

Click on any requirement to:

  • Edit the text
  • Change the type/category
  • Add notes
  • Link to proposal sections

Requirements and Proposal Generation

When you generate proposal sections, the AI considers:

  1. All mandatory requirements - Ensures they're addressed
  2. Relevant optional requirements - Includes when beneficial
  3. Your assets - Matches team members and past projects to requirements

Compliance Matrix

For complex RFPs, create a compliance matrix:

  1. Go to the Requirements tab
  2. Click Export Compliance Matrix
  3. Download as Excel or include in your proposal

This shows evaluators exactly where each requirement is addressed.

Best Practices

  1. Review all mandatory requirements - Before starting your proposal
  2. Prioritize early - Focus on high-weight requirements
  3. Track coverage - Ensure no mandatory items are missed
  4. Use the matrix - For complex RFPs with many requirements
