Version history

Version history keeps copies of a proposal as it changes, so you can see what changed and go back to an earlier state. Each version is a copy of every section of the proposal at that moment, not of a single section.

To open it, select the Version History button (the clock-with-arrow icon) in the proposal editor's toolbar. A panel opens on the right. It lists versions newest first, each with its number, when it was saved, who saved it and its word count. The newest version is marked Current. A version that has a name shows it as a badge, and most show a short summary of what changed.

When versions are created

Propivix saves a version in these cases:

  • When you save a section. Saving changes to a section's text or title saves a version with a summary such as: Updated section "Technical Approach". To avoid a long list of near-identical copies, a save within 90 seconds of the previous automatic version does not create another one.
  • When you create a checkpoint. Select Create Checkpoint, type a name such as "Before client review", and select Create Checkpoint in the dialog. Use checkpoints to mark moments you may want to return to.
  • When you restore a version. After a restore, Propivix saves the result as a new version named "Restored from v" and the number you restored.

Use the filters above the list to narrow it: All shows every version, Checkpoints shows only named checkpoints, and Saves hides the automatic versions.

When the list is empty, nothing has been saved for this proposal yet. The first version appears the next time someone saves an edit to a section or creates a checkpoint.

To see what changed between two versions:

  1. Select one version, then another. The panel says "Two versions selected for comparison".
  2. Select Compare. A line-by-line view shows added lines in green and removed lines in red, with counts such as "+12 added" and "-4 removed".
  3. Select Hide to close the comparison, or Clear selection to start over.

Restoring a version

  1. Open Version History.
  2. Find the version you want and select the arrow on its right to expand it.
  3. Select Restore this version. The button does not appear on the Current version.

A restore brings back every section exactly as that version recorded it. That includes the text, tables and table settings, formatting, content type, status, theme statements, page budgets, evaluation weights and each section's claim review state. It also brings back the section list itself:

  • Sections that existed in that version and were deleted since come back.
  • Sections added since that version are deleted.

A restore does not remove any version. To undo one, restore the version that was current just before it; it is still in the list.

Restoring and creating checkpoints need a role that can edit proposals.

Before you regenerate

Generating a section with AI replaces its text straight away, and it does not save a version first. This is true of AI Generate in the editor and of Generate Proposal in the wizard, which writes each section in turn. See AI Proposal Generation.

So if a section holds work you want to keep, create a checkpoint before you regenerate it:

  1. Save any open edits with Save All.
  2. Open Version History and select Create Checkpoint.
  3. Give it a name that says why, such as "Before regenerating Technical Approach".
  4. Regenerate the section.

If the new draft is worse, restore the checkpoint. Remember that a restore returns every section to that moment, so any edits made to other sections after the checkpoint are rolled back too. Copy those edits somewhere first, or restore and then redo them.

Regenerating a section keeps its page budget, evaluation weight and volume, so you do not need a checkpoint to protect the outline. You do need one to protect the text.
