Exporting Proposals

When your proposal is ready, export it as a professionally formatted Word document for submission.

How to Export

Basic Export

  1. Open your proposal
  2. Click Export in the top toolbar
  3. Select export options
  4. Click Download

Export Options

Format

  • Microsoft Word (.docx) - Recommended for editing
  • PDF (.pdf) - For final submission (coming soon)

Template Styling
If using a template with styles:

  • Headers and footers
  • Custom fonts and colors
  • Logo placement
  • Page numbering

Include Sections
Choose which sections to include:

  • All sections (default)
  • Selected sections only
  • Exclude appendices

Export Settings

Page Setup

  • Page Size - Letter, A4, or custom
  • Margins - Standard or custom
  • Orientation - Portrait or landscape

Headers & Footers

  • Company logo
  • Proposal title
  • Page numbers
  • Confidentiality notice

Table of Contents

  • Auto-generated from sections
  • Clickable links in Word
  • Page numbers included

Cover Page

If your template includes one:

  • Client name
  • Project title
  • Your company info
  • Submission date

After Export

Review the Document

Always review the exported document:

  1. Check formatting consistency
  2. Verify page breaks
  3. Review table of contents
  4. Check images and tables
  5. Proofread final content

Common Adjustments

You may need to:

  • Adjust page breaks
  • Resize images
  • Fine-tune table formatting
  • Update page numbers

Final Checklist

Before submission:

  • All sections included
  • Formatting correct
  • Page count within limits
  • All requirements addressed
  • Contact info accurate
  • Proofread complete

Submission Tracking

After submitting your proposal:

  1. Go to the proposal in Propivix
  2. Click Mark as Submitted
  3. Enter submission date
  4. Add any notes

This helps with:

  • Win/loss tracking
  • Analytics
  • Historical reference

Export Troubleshooting

Formatting looks wrong?

  • Check your template settings
  • Try a different template
  • Use simple formatting in content

Images not appearing?

  • Ensure images are embedded, not linked
  • Check file size limits
  • Re-add images if needed

Table of contents incorrect?

  • Regenerate after any section changes
  • Check heading levels
  • Manual TOC updates may be needed

File won't open?

  • Ensure you have Word 2016 or newer
  • Try opening with Google Docs
  • Contact support if issues persist

Batch Export

For large proposals with appendices:

  1. Export main proposal
  2. Export appendices separately
  3. Combine as needed

This gives more control over formatting and file size.
